The Kenya National Examinations Council (KNEC) has streamlined the credentials verification process for employers and academic institutions through its online e-certificate portal.

Organisations can now directly validate the authenticity of candidates' Kenya Certificate of Secondary Education (KCSE) and other KNEC academic records.

This comprehensive guide outlines the exact electronic verification procedure for verifier organisations.

Step 1: Account Registration and Portal Access

Visit knec.ac.ke and select the "e-certificate" tab, or navigate directly to https://ecertificate.knec.ac.ke/.

From the sign-up page, select the Verifier Organisation account type.

The registration form requires standard corporate details alongside an upload of the organisation's official certificate of incorporation.

Step 2: Email and OTP Verification

After submitting the organization's information, click Send OTP.

A 6-digit verification security code will be sent to the registered corporate email address.

Enter this code into the portal promptly to confirm the email address and advance the registration.

Step 3: Administrative Approval 

Unlike individual student accounts, all Verifier Organisation profiles are placed into a "Pending Approval" state upon registration.

KNEC administrators manually review the submitted corporate details and incorporation documents.

Organisations will receive an automated email notification once the account is officially approved and if it's rejected, a specific reason for re-application will be issued.

Step 4: Initiating Verification Request

Once granted dashboard access, you can initiate a check by clicking New Verification Request.

The system allows for batch processing, meaning multiple candidates can be added at this stage, with each individual assigned a unique row in the tracking table.

The portal requires the following mandatory information for each candidate:

  • Candidate’s full name (exactly as it appears on the certificate)
  • Examination Index Number
  • Exam Type (e.g., KCSE)
  • Exam Year (supports KCSE 1989 to 2024)
  • A PDF upload of the candidate's certificate

Step 5: Purpose and Consent Documentation

Before proceeding to billing, the system requires the organisation to input the specific reason for verification—such as employment screening, higher education admission, or immigration vetting.

The verifier must also formally accept the legal consent declaration on the screen.

You will also be required to confirm the delivery email at this point before moving to the next phase.

Step 6: Payment Processing via eCitizen

Organisations can clear processing fees through two primary methods after clicking Proceed to Pay.

You can pay with credits instantly if the account's pre-funded portal wallet balance is sufficient.

Payment can also be made via eCitizen using M-Pesa or any other integrated payment channel.

Step 7: Downloading the Verification Reports

Once KNEC finalizes the background verification, the system generates comprehensive compliance documentation available for immediate download.

You will receive:

  • Consolidated report in PDF covering every candidate included in the verification request.
  • A PDF report per candidate for each distinct row.
  • A list showing each candidate's results, categorising each certificate as either Genuine or Referred to KNEC.
