The Kenya National Examinations Council has established a clear digital roadmap for schools to manage student movement through the Competency-Based Assessment portal.

This specialised process ensures that academic records remain intact when a learner moves to a new institution.

The transition begins at the receiving school, where the Head of Institution must log into the CBA portal to formally initiate the transfer.

Once logged in, the administrator selects the specific grade of the transferring student to access the correct records database.

The technical core of the request happens within the Learner Transfer Section. Here, the administrator must input the student’s unique assessment number into the designated text box. Upon clicking search, the system populates the learner’s specific details for verification.

A successful match is indicated when the Submit Transfer button changes to a deep green colour, signalling that the system is ready to process the data.

Clicking this button completes the first phase of the transfer. At this stage, the portal provides immediate feedback by increasing the count of pending transfers by one.

For transparency and follow-up, the system also displays the contact details of the previous school’s Head of Institution.

However, the process remains in a preliminary state until authorised by the originating school, as the transfer is only officially finalised once the current head of the school the student is leaving approves the digital request.
